Privacy Notice
This notice explains how Fieldstone Digital handles information from people who visit this website and from participants in its Document Privacy & AI Workflow Research survey.
Who we are
Fieldstone Digital is an independent software studio based in Ontario, Canada. It is responsible for this website and for the Document Privacy & AI Workflow Research initiative. For any question about this notice or your information, contact info@fieldstonedigital.ca or, for research matters, research@fieldstonedigital.ca.
Scope
This notice covers the fieldstonedigital.ca website and the survey for the Document Privacy & AI Workflow Research initiative. It does not cover third-party websites linked from here.
Information from website visitors
Most pages on this site are static. Fonts are self-hosted, so visiting a page does not call third-party font services.
Fieldstone does not use a separate website analytics service on this site (see Analytics below). Some technical information is still processed by our hosting and form-processing provider to deliver and secure the site and to receive survey submissions (see Technical information).
Information from research participants
The research survey asks about your work, not your clients. The questions cover your professional role, an approximate firm-size range, whether you work with confidential information, how often you use AI tools, how often you prepare, remove, change or withhold information before sharing it, what you do today, and the main difficulties you experience.
You can complete and submit the survey without providing any contact information. Contact details — an email address, and optionally your name — are requested only if you choose to be available for a short research follow-up, and only alongside a separate, explicit research-contact consent. If you provide them, a record of that consent is kept with your response.
Each submission also includes a survey version, the research-contact consent version, and a random identifier generated in your browser for that response. The identifier is not based on you, your device, or your network.
The survey has no file upload and no free-text message field. Participants are asked not to submit confidential documents, client or company names, financial records, government identifiers, passwords, or other sensitive information. The research concerns workflows and experiences only.
Technical information
Our hosting and form-processing provider may automatically process technical information associated with requests and survey submissions, such as IP address, browser and user-agent information, the referring page, and timestamps. This information is generated by the request itself; it is not a survey question, and Fieldstone does not use it to build a profile of you or to track you across other sites.
How we use information
Research responses may be used to:
- understand how professionals work today;
- identify recurring friction and problems;
- analyse patterns across responses; and
- guide Fieldstone’s research and product-development decisions.
Contact details, where provided, are used only to contact you about this specific research initiative — for example, to arrange or ask about a short follow-up. Technical information is used to deliver and secure the site and to receive submissions.
Research communications
If you provide contact details and give research-contact consent, Fieldstone may email you about this research initiative, including to arrange a short follow-up conversation. These messages are sent and received through Fieldstone’s business email service (see Sharing and service providers) and are limited to this initiative. Research-contact consent is not consent to marketing, newsletters, sales, product announcements, unrelated research, or ongoing contact-list enrolment.
Sharing and service providers
Fieldstone uses third-party service providers to operate the website and to process research submissions:
- Netlify — website hosting and deployment, and Netlify Forms for receiving, storing, and exporting survey submissions, including the associated technical and request metadata described above.
- Google Workspace — Fieldstone’s business email service, used to send and receive communications, including optional research follow-up messages. Google Workspace is not used to collect or store survey responses submitted through the research survey.
- GitHub — source-code repository and the deployment workflow. GitHub is not used to receive research survey responses.
Fieldstone does not sell research-participant information. Information is processed by the service providers needed to operate the site and the research workflow, and may be disclosed if required by law.
Where information is processed
Fieldstone’s service providers may process information in jurisdictions where they or their infrastructure operate, including outside Canada. Information handled by those providers may be subject to the laws of the jurisdictions in which it is processed.
Analytics
Fieldstone is not currently using a separate website analytics service on this site — there are no analytics or advertising scripts. Provider-level operational and request logging may still occur through the hosting infrastructure. If a website analytics service is introduced later, this section will name it and describe what it collects before it is enabled.
Cookies and local storage
The research survey does not intentionally store your answers in your browser — it does not use local storage, session storage, or survey-answer cookies. Your answers are held only in the page while you complete the survey and are lost if you reload before submitting.
Retention
Identifiable research submissions are retained during the active research initiative and for up to six months after Fieldstone declares the initiative closed. After that, identifiable submissions are deleted from Netlify Forms.
If research findings need to be kept longer, Fieldstone retains only a de-identified or aggregated analysis, with identifying information removed — including the follow-up email and name, contact and consent fields that are no longer required, IP address, user-agent information, identifying referrer information, and response identifiers that are no longer needed. Aggregated, de-identified findings may be kept for business analysis. De-identification reduces, but does not guarantee the impossibility of, re-identification.
Access and deletion requests
If you provided contact details with your response, you can email research@fieldstonedigital.ca to ask what identifiable research information Fieldstone holds about you, ask for corrections, or ask for it to be deleted. Fieldstone will respond within a reasonable period.
If you submitted the survey without contact details, Fieldstone may not be able to reliably locate your specific response without enough information to link you to it, and cannot promise to delete a specific record where your identity cannot reasonably be established.
Security practices
Fieldstone uses reasonable administrative and technical measures appropriate to this early-stage research workflow, including limiting what is collected and who can access it. No website or method of storage is completely secure, and Fieldstone does not claim otherwise.
Fieldstone is based in Ontario, Canada and aims to handle personal information responsibly and in keeping with applicable Canadian privacy law.
Research participation and marketing
Research participation is separate from marketing. Taking part does not add you to any mailing list, and the survey contains no marketing consent. Research-contact consent covers contact about this research initiative only.
Changes to this notice
This notice may be updated as the research initiative and the site develop. The date at the top reflects the most recent change.
